Moving from a register to software without losing anything
When to switch, how much history to bring across (not all of it), how to run the first week, and how to get your data back out whenever you want.
A register works fine for twenty trips a month. At fifty it starts to strain. At a hundred nothing is reliable.
But switching is daunting — what happens to the old data, what if I am not good with computers, and anyway it is working for now.
This covers all three.
When to switch
There is no single signal, but these three are clear enough:
You have started forgetting. Checking what a party owes means flipping through pages.
Two people write in the same register. Numbers repeat, or go missing in the middle.
You hesitate to ask for money because you are not certain of the figure. That one is the most expensive.
Getting the old data in
This is the biggest fear. Two cases:
It is in Excel — it imports directly. Parties, transporters, drivers, trucks, all four. Header names do not have to match. Five or six minutes for the lot.
It is in a register — then it has to be typed once. But not all of it.
Do not enter years of history
This is where people give up. They sit down to enter three years of past trips, spend two weeks on it, and abandon the whole thing halfway.
You only need:
- The list of parties and transporters — name, phone, GSTIN, address
- Today's balance — what each party owes right now, entered as an opening balance
- The list of drivers and trucks
That is it. Past trips do not need to come across. If today's balance is right, everything from here forward is right.
The first week
Run both. One week on paper and in the software. It builds confidence, and anything missed shows up.
Create one real trip. You learn by doing it, not by reading about it.
Print one bilty. Check the logo, the address, all three copies.
Enter one payment and look at the ledger to see it land where it should.
Get those four done and the rest follows.
"I am not good with computers"
You do not need to be. The whole thing runs on a phone.
Open the site, tap Install, and an icon appears on your home screen — no Play Store involved. After that it opens like any other app.
Creating a bilty, entering a payment, checking a ledger — all from the phone.
The data stays yours
Hit Export any time and you get a spreadsheet. Parties, transporters, drivers, trucks.
And it carries names, not internal IDs — so the file is useful anywhere, not just here.
That is worth saying plainly, because the biggest fear with new software is that your data gets locked in.
One honest thing
Software does not fix a business that is not working. If PODs do not come back, bills go out late, and rates are quoted without knowing your costs, software will make all of that faster — not better.
Build those three habits first. The software makes them easier; it does not replace them.
