Import parties, drivers and trucks from Excel — set up in 10 minutes

Two days of typing becomes ten minutes. You see exactly what will import before anything saves, duplicates are caught on three keys, and drivers link to their transporters by name.

Ask anyone who tried new software and gave up. It was almost never the software. It was sitting down to type in eighty parties.

Name, phone, GSTIN, address, credit days. Then forty transporters. Then the drivers. Then the trucks.

Two days of typing before you can create a single trip. Most people start on a Sunday, get through thirty parties, and never open it again.

What this replaces

The ten minutes, honestly

One condition, said plainly: the data has to exist in a spreadsheet. If it only lives in a register, it has to be typed once — and that is true of every software you could pick.

You see what will happen before it happens

Upload the file and nothing is saved. You get this:

```
Already had 14 Rows in file 52
Will import 45 Already exist 3
Cannot import 2
After importing you will have 59 parties
```

Then every problem, with its row number:

  • Row 23 — Party name is empty
  • Row 7 · Bharat Traders — matches an existing party by phone
  • Row 31 · Shree Sai — repeated in this file (row 12)

Only when you press Import 45 parties does anything get written.

This matters more than it sounds. Software that imports the moment you upload is how people end up with three hundred duplicate parties and no way to undo it.

Your file does not have to be clean

Nobody's spreadsheet is tidy. None of this needs fixing first:

Header names do not have to match either. `Party Name`, `NAME`, `Company Name`, `Firm Name` all work. So do `Mobile`, `Phone No` and `Contact No`.

A malformed GST number does not stop a row — it comes in with a note attached. Only a blank name stops it.

Drivers connect to transporters by name

This is the part that saves an afternoon.

You are not asked for database IDs. You write the transporter's name, the way you already write it:

```
Driver Name Transporter Name
Ramesh Kumar Gold Transporters & Co
Suresh Yadav Highway Carriers
```

The link is made at import. Capitals and stray spaces make no difference.

Trucks carry two connections the same way — the transporter and the owner driver.

If a name is not found, the row still imports with that link left blank, and the preview tells you which ones. One misspelt transporter does not stop forty trucks from coming in.

Import in this order

1. Transporters

2. Drivers — these point at transporter names

3. Trucks — these point at both

4. Parties — any time, they link to nothing

Import drivers first and there is nothing for them to match against.

And you can take it all back out

Every list exports to Excel or CSV, and the export carries names, not internal IDs.

Export, edit in Excel, import back. Or export and walk away — the file is useful anywhere.

That is worth saying out loud, because the real fear with any new software is not the setup. It is whether your data gets locked inside it.

What ten minutes does not cover

Your data will be in. Learning trips, bilty, payments and ledgers takes longer than that, and anyone who tells you otherwise is selling.

But that part is learning, not typing. Most people create a real trip on the first day.
